In Outlook 2003, You can create a new e-mail message and and save it as a template that you can then use over and over - it’s exactly the same idea as using templates in Microsoft Word.

Creating an Outlook template is relatively easy. Before you do, though, you must disable Word as your e-mail editor. You can do this within Outlook by selecting Options from the Tools menu. Click the Mail Format tab. Remove the check beside the option to Use Microsoft Word to edit e-mail messages. Click OK.

Now you are ready to create a template. From the Outlook menu, select File, point to New, and click Mail message. Type in a subject for the message and the information you want in the message body. You can even specify a recipient if you plan to use the template for sending messages to the same person.

Once you have the desired information in the message, click File, then Save As. In the Save As dialog box, select “Outlook Template” in the “Save As File Type” box. Type in a name for the template and click Save. If you do not see Outlook Template as a file type option, you have not completed the steps to turn off Word as the e-mail editor.

After you close the template, you can go back and place a check beside the option to use Microsoft Word as the e-mail editor.

Now, you create a Rule:

Tools Arrow Rules and Alerts Arrow New Rule Arrow Start with a Blank Rule Arrow Check Messages After They Arrive Arrow (Don't select anything and click Next to apply the rule to all incomming e-mails) Arrow Reply Using a Specific Templet Arrow Click on the "a Specific Templet" hyperlink text and select your templet Arrow Next Arrow Next Arrow Finish (Don't click on the "Run this rule on all existing e-mail, or everyone that is in your inbox will get the message right now)

Leave your computer on and Outlook running or it won't work anyway

When you come back to the office, just trun the rule off, don't delete it.

To Edit an existing templet (for like just changing the dates) do this:

Follow the above steps and create a new message and then save it overwritting the existing file.
